Privacy Policy

This page explains how Dykstra Consulting Ltd. handles personal information from this website, phone calls and email. BC's Personal Information Protection Act (PIPA) applies to us, and we're responsible for following it.
The short version. We use what you send us to reply to you and, if you hire us, to do the job. We don't sell it or send you marketing. Our form service, email and web host are outside Canada. Google counts visits and which of our ads bring enquiries, but it doesn't get what you type in the form.
What we collect
- Contact form: your name and phone number (required), email (optional), the property's town or address, the service and timeline you choose, and anything you tell us about the site, such as lot size, slope, the existing system and what you plan to build.
- Calls and emails: what you tell us, and your phone number or email address.
- If you hire us: what the job needs, such as your mailing address, the property's legal description and PID, and soil test results.
- Website visits: your IP address, browser and device, the pages you view, and whether you came from one of our Google ads. See "Cookies and Google tools" below.
How we use it
We use your contact and project details to reply to you, assess your property, prepare a quote, do the work if you hire us, and meet our legal and professional duties. We use website visit data to count visits, see which of our ads bring enquiries and calls, and keep the website secure. We don't send you marketing, and we don't sell your information.
Who handles it for us
These are the main providers that handle your information for us. They may use it only to provide their service to us, and we remain responsible for it. Most are outside Canada, so your information may be subject to the laws of those countries and may be accessed there by courts, law enforcement and national security authorities.
- Web3Forms delivers our contact form to our email. It's run from India, and its servers may be in the United States, Europe or elsewhere. It records your IP address and the time you sent the form, and may check your email and IP address with spam filters. It deletes its copy of your message after 7 days.
- Proton AG (Switzerland) provides our email. Messages, including form enquiries, are stored encrypted in Switzerland, Germany or Norway.
- Our web host, a U.S. company, receives your IP address, browser, the page you ask for and the time, to deliver pages and protect the website. It may set a security cookie to check that you're not a bot.
- Our website and advertising contractor looks after this website, the contact form and our Google Ads. They can see form enquiries and Google's call reports, including callers' phone numbers, and use them only to run those services for us.
Who we share it with
- Health authorities (Fraser Health, Interior Health or Vancouver Coastal Health, depending on where the property is) for septic designs. BC's Sewerage System Regulation requires the property owner's name, address and phone number, soil information and the system plans to be filed before the system is built, and a letter with the as-built plans and maintenance plan after. The health authority keeps these records and may release them to people who ask about the property, under its own rules.
- The First Nations Health Authority gets the design and installation documents for projects on reserve land.
- Your municipality, regional district or the Ministry of Transportation and Transit, when your project includes a stormwater or drainage report, subdivision servicing or a variance application.
- Anyone you ask us to send your reports or letters to, such as your lender.
- Installers or wastewater practitioners (ROWPs) working on your project, with your agreement.
- Others only when the law requires or allows it, such as a court order.
Cookies and Google tools
We use Google Analytics and Google Ads to count visits and see which of our ads lead to enquiries and calls. Google LLC (United States) provides both. For Google Ads, Google also uses the information for its own purposes, such as measuring ads, preventing fraud and improving its services, under its own privacy policy (policies.google.com/privacy).
- Google Analytics shows us which pages people view, how they found us and their general location, such as their town. Google uses your IP address to estimate location and filter spam, and says it discards the raw address after use. Because our Analytics is linked to Google Ads, an encrypted version may pass to our Google Ads account. Our reports show only general location. Detailed visit data is kept for 2 months.
- The Google tag for Google Ads runs on every page. It tells Google Ads which pages you view and, if you came from one of our ads, which ad click brought you. It also tells Google when an enquiry is sent and when someone taps our phone number. It never sends what you type into the form.
- Cookies the Google tag uses on our website include
_gaand_ga_(Google Analytics, to tell one visitor from another, up to 2 years), cookies starting with_gcl_(Google Ads, to remember that you clicked one of our ads, 90 days) andgwcc(Google call tracking). Google may also use its own cookies on google.com and doubleclick.net. - Google Fonts loads the fonts on our website and receives your IP address, browser details and the page address. It sets no cookies, and Google says it doesn't use this data for ads or profiles.
- What we don't do: we don't use remarketing (showing you our ads later because you visited). We haven't turned on Google signals or demographics and interests reports, and we've turned off ads personalization for this data. We don't send Google your name, email or anything you type in the form. If you call a Google forwarding number, Google does see your phone number (see the next section).
- If you visit from the European Economic Area, the UK or Switzerland, Google Analytics and Google Ads cookies stay off.

Calls from our Google ads
If you reach us from a Google ad, the number in the ad or on our website may be a Google forwarding number. Google passes the call to us and logs the date and time, how long it lasted, and your phone number (or only your area code for some short calls). We count a call as coming from our ads if it lasts 60 seconds or more. Our own number is (778) 201-3837. If you dial it yourself, the call doesn't go through Google.
How to limit tracking
The website and the contact form work the same either way.
- Block or delete cookies in your browser. This limits both Google Analytics and Google Ads measurement.
- Google's opt-out add-on for Chrome, Firefox, Safari and Edge stops Google Analytics (not Google Ads): tools.google.com/dlpage/gaoptout
- My Ad Center (myadcenter.google.com) controls how Google personalizes the ads you see. It doesn't change what this website counts.
How long we keep it
- Enquiries that don't become projects: we delete them from our inbox within 2 years of our last contact. Web3Forms deletes its copy after 7 days.
- Project records: as a firm registered with Engineers and Geoscientists BC, we must keep complete project records, including correspondence, site data and designs, for at least 10 years after the project is finished or we stop using the records, whichever is later. We may keep them longer for legal reasons, and we can't delete them early, even on request.
How we protect it
Form details travel over an encrypted (HTTPS) connection, and Web3Forms and Proton store them encrypted. If a privacy breach creates a real risk of significant harm to you, we'll tell you and report it to the Information and Privacy Commissioner for BC, and to the federal commissioner when the law requires it.
Your rights
Email info@dykstraconsulting.ca to use any of these. We may ask you to confirm who you are. Correcting your information is free. For a copy of what we hold, we may charge a small fee to cover our costs, and we'll tell you the amount in writing before we start.
- See it: ask for the personal information we hold about you, how we've used it and who we've shared it with.
- Correct it: we'll fix errors and send the correction to anyone we shared it with in the past year, such as a health authority. If we disagree, we'll note your request on file.
- Stop or delete: ask us to stop using your information or to delete it. We'll delete what we hold unless the law or our professional rules require us to keep it. If we stop, we may not be able to continue a quote or project. Google keeps its own records of visits and ad calls on its own schedule.
We'll reply within 30 days. If the law allows us more time, we'll tell you within those 30 days why, when to expect our answer, and that you can complain to the privacy commissioner about the delay.
